This is a full time, salary-exempt position.
The Operations Assistant reports to the Director of Operations.
Description:
Perform clerical and administrative functions such as drafting correspondence, social media posts, scheduling calendar items, screen calls for Director. Organizing and maintaining paper and electronic files, coordinating with vendors, and stakeholders. Assist the Director with driving various projects. Other duties as assigned.
Education and Experience:
High school diploma or equivalent required
Bachelor’s degree preferred
High school diploma or equivalent
Moderate-term on-the-job training
Previous nonprofit experience preferred
Knowledge
Clerical Skills:
Knowledge of administrative and clerical procedures and systems such as word processing, document and presentation production, writing letters and memos, managing files and records, transcription, designing forms and spreadsheets, and other office procedures. Typing speed of 85 wpm or greater highly desirable. Mail newsletters, promotional material, or other information. Prepare documentation for contracts, transactions, or regulatory compliance. Prepare informational or reference materials. Record personnel information.
English Language Skills:
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar. Proofread documents, records, or other files to ensure accuracy. Requires being exact or highly accurate.
Customer Service Skills:
Knowledge of principles and processes for providing customer service.
Social Media:
A working knowledge of current social media technology, social media campaigns, and organization social media strongly preferred.
Computer and Technical Skills:
Knowledge of office equipment (such as mail machine, fax, scanner, and photocopier), and computer hardware. Knowledge of Windows environment, QuickBooks and Microsoft Office products, Adobe Acrobat, and Adobe Products. Advanced knowledge of Excel desirable. Comfortable with the internet and cloud applications. Basic knowledge of HTML and CSS very helpful. Learn to operate new office technologies as they are developed and implemented.
Administrative:
Maintain event calendars. Compose, type, and distribute meeting notes, routine correspondence, or reports, such as presentations or expense, statistical, or monthly reports. Complete forms in accordance with company procedures. Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material. Knowledge of human resource filing system.
Management Skills:
This position requires a high level of autonomy, including time management - managing one's own time, and the ability to exercise independent judgment over areas of assigned responsibility. Manage projects or contribute to committee or team work.
Basic Skills:
Ability to work alone or in a team. The ability to maintain strict confidentiality. Troubleshooting:
Performing routine maintenance on equipment and determining when and what kind of maintenance is needed. Report maintenance or equipment problems to appropriate personnel/vendor and arrange for repairs.

Range: $16.00-$19.00
