SUMMARY:
The Construction Contract Administrator will be involved in all aspects of construction project management; from pre-construction activities through final building commissioning. This is a key position that will help ensure all contractual provisions related to our projects are followed, monitored, and closed out. This position will play a key role in managing and updating our project management system, working closely with our project management team, accounting and other groups.
DUTIES AND RESPONSIBILITIES:
• Coordinate the negotiation, execution, and monitoring/compliance of all contracts.
• Daily update of the project management system to include key dates/milestones/documents and communications
• Interpret contract provisions to help resolve claims and questions submitted by contractors
• Handle all paperwork required to obtain approval of all work not previously covered in a contract - process and obtain approval of contract changes.
• Monitor compliance to contract requirements ensuring all conditions are satisfied before approval of the final invoice.
• Process requests for payment, purchase orders, invoices from vendors and similar documents.
• Assist Project Managers in maintenance of budgets and analysis of variances to budget.
• Initiates/conducts meetings with contractors concerning contractual problems as requested by the Project manager.
• Establishes and updates records of all correspondences related to contract activity
• Assists in compiling and preparing bid documents and bidder list, including inquiry preparations, request for bids and recommendations for award of contract.
QUALIFICATIONS:
• Bachelor’s degree or equivalent experience
• 5-10 years’ experience in providing contract administration for commercial/large-scale residential construction projects.
• Experience working with the regulations and processes involving the California Department of State Architects
• Proven ability to extract all key data elements from contracts, and to establish processes and systems to ensure compliance with all contractual terms.
• Experience in managing all aspects of work flow and contracts regarding construction projects including requests for information, changes in orders, purchase orders, lien waiver/releases, etc.
• Strong working knowledge of customary construction contract language and provisions (prime contract, sub-contract agreements, supply agreements, etc.)
• Skill in managing the review, negotiation and execution of contracts involving general contractors, sub-contractors and suppliers.
• Confidence in communicating and working with outside attorneys
• Excellent skills in time management, verbal and written communication
• Strong software skills, with preference for a working knowledge of MS Office, MS Project, and Spitfire
